Add New Customer/Modify Existing Customers

Customer accounts store all essential information required to conduct business with individual customers.  Mandatory fields are clearly indicated with an asterisk (*). While the system allows customer records to be created using only the minimum required fields, it is recommended to enter all available customer data during setup to ensure accuracy and completeness.  Mandatory fields are clearly indicated with an asterisk (*).

Creating a New Customer

New Customers can be added by clicking the “New Customer” icon or by selecting the “+NEW” link that appears when hovering over “Customers” under the Profiles section. 

Header Section

  • Customer ID – Acumatica automatically assigns a numeric Customer ID once the record is created.
  • Customer Status – Customers are created with an Active status by default.  
  • Customer Class – Use the magnifying glass icon to select the appropriate customer class.

It is recommended to review each tab within the customer details screen to ensure all information is accurately entered according to the specific customer’s settings and that all required fields are properly completed.

General Tab

This tab contains the primary name, address and contact details for the customer.

  • By default, the billing and shipping contact and address mirror the general contact information.  This data pulls from the General tab but can be overridden on Billing and Shipping tabs as needed.
  • If the customer uses a single email for all correspondence, including invoices and statements, it should be entered in the Account Email field, located under the Additional Account Info section of the General tab.

Financial Tab

This tab contains the credit terms and credit verification rules that can be applied to the customer. 

  • Credit terms determine the payment schedule and due dates for the customer’s invoices.
  • Credit verification rules help manage and control credit limits, overdue balances, and order holds based on the customer's credit status.

Billing Tab

This tab is used to store the customer’s default payment information, billing address and account billing settings.  If this information differs from what is listed on the General tab, select the Override checkbox(es) and enter the appropriate Bill-To Address and related billing information.

  • Parent Info Section – If this customer is a subsidiary or child of another account, select the corresponding parent account here.  
  • Print and Email Settings – If “Send Invoices by Email” or “Send Statements by Email” is selected, a valid email address must be entered for the customer. 

Shipping Tab

This tab contains the information required for delivering goods and services to the customer. As with the Billing Tab, if the shipping details differ from the company information listed on the General tab, select the Override checkbox(es) and enter the correct Ship-To Address and related information.  Tax Settings and Shipping Instructions are also stored on this tab.

Locations Tab

The MAIN location is automatically created for the customer when the main address is entered on the General tab.  If additional customer locations are needed, this will be reviewed with your consultant during the setup process.

Payment Methods Tab

This tab displays the list of accepted payment methods for the customer.  The default payment method is pulled from the Customer Class but can be modified at the individual customer level if needed.

GL Accounts Tab

This tab shows the default General Ledger (GL) accounts associated with the customer.  For new customers, these accounts are initially populated based on the selected Customer Class on the General tab.  Alternative GL accounts can be assigned to individual customers as needed.

Contacts, Salespersons, Attributes, Activities and Mailing & Printing Tabs

These tabs contain additional customer-related information such as contact details, assigned sales representatives, custom attributes, and mailing/printing preferences.  If information is required on these tabs, it will be reviewed with the consultant during setup.
