RMA Return Order Process (RT Order Type)

Use the RMA Return Order (RT Order Type) to manage all return scenarios, including:

  • Returns only (no replacement shipped)
  • Replacements only (no return received)
  • Returns with replacement shipment

Unless noted otherwise, steps may be completed in any order.

Create an RMA Return Order (RT)

  1. Navigate to Sales Orders > Transactions > Sales Orders
  2. Create a new order and select RT (RMA Return Order) as the order type.
  3. Enter the Customer, Location, Order Date, Customer Order number, and other required fields.

  1. On the Document Details tab, add the returned item(s) using one of the following methods:
    1. Add from Invoice
      1. Select the ADD INVOICE button to choose item(s) from an existing sales invoice.
      2. The system automatically populates the original invoice number, warehouse, quantity, and lot/serial numbers (if applicable).

    1. Add Manually
      1. Click ‘+’ to manually add line item(s)
      2. Enter all required information, including quantity and sales price.
      3. Enter a negative quantity for returned items.
      4. If lot/serial number is required, select Allocations to enter the details.

  1. SAVE the return order.

Automatically Create Replacement Shipment (Optional)

If you are shipping an identical replacement item after the return is received:

  • Select the Auto Create Issue checkbox in the details grid on the line for the returned item that requires replacement.

NOTE: The returned item must be received before the replacement can be shipped when using Auto Create Issue. 

Manually Add Replacement Item(s)

  1. Open the RT order and add line items for the replacement product(s).
    1. Replacement items must have a positive quantity.

  1. Verify the order total reflects the amount that should be credited or charged to the customer after both the return and replacement are completed.
  2. SAVE the order

Receive Returned Items

  1. Open the RT order and select Create Receipt.
  2. Acumatica creates a Shipment with Operation = ‘Receipt’ to return the item(s) to inventory.

  1. On the Shipping Settings tab, remove the ship via code, if applicable.
  2. Select Confirm Shipment.
  3. Select Prepare Invoice
  4. Release the document to create the credit memo and return the items to stock.
    1. If no replacement items will be shipped, the RT order is now Completed and a credit is available on the customer account, if applicable.
    2. If the Auto Create Issue was selected, an ‘Issue’ line is automatically added to the RT order to ship the replacement item.


    1. Additional charges or items mau be added to the RT order as needed.

Ship Replacement Items

  1. Open the RT order
  2. Select Create Shipment
  3. Update shipment details, including lot/serial numbers, ship via method, and packages (if auto-pack is not enabled)
  4. Select Confirm Shipment once items are shipped to the customer.

Invoice Replacement Shipment

  1. Select Prepare Invoice
  2. Release the invoice to remove items from inventory.
  3. Apply the credit memo to the invoice.
    1. If the replacement was shipped at $0.00, the invoice will close automatically.
